About Us

Aries Construction is a New York–based general contracting firm managing approximately 6–10 active construction projects per year, including ground-up and renovation work. We are seeking an Administrative Manager with basic construction knowledge who can independently manage office operations while supporting live construction projects.

This role is not purely clerical. It requires understanding how a construction office functions, how projects move from contract to closeout, and how documentation, payments, and compliance tie together.

Key Responsibilities

Administrative & Office Operations

  • Answer and direct phone calls and emails professionally
  • Maintain organized digital and physical filing systems
  • Schedule meetings and coordinate calendars
  • Order office supplies and manage general office needs

Financial & Payroll Duties

  • Process payroll and maintain payroll records
  • Handle accounts payable and receivable
  • Process vendor, subcontractor, and supplier payments
  • Track expenses and maintain financial documentation
  • Assist with invoice preparation and record keeping

Construction Project Support

  • Maintain project files, contracts, and documentation
  • Coordinate with subcontractors, vendors, and consultants
  • Track insurance certificates, W-9s, lien waivers, and compliance documents
  • Assist with project-related administrative tasks

Human Resources Support

  • Maintain employee records and personnel files
  • Assist with onboarding new employees
  • Track timesheets, attendance, and basic HR documentation

Software & Technical Skills

  • Strong knowledge of Microsoft Excel, Word, and MS Project
  • Experience with QuickBooks or similar accounting software preferred
  • Ability to learn construction-related software and documentation

Qualifications

  • Proven experience as an Administrative Manager, or Construction Office Administrator
  • Basic understanding of construction operations (contracts, subcontractors, invoices, COIs, lien waivers, project files)
  • Strong organizational and multitasking skills in a fast-paced environment
  • Proficiency in Microsoft Excel, Word, and MS Project (construction tracking experience preferred)
  • Experience with payroll processing and vendor payments
  • Ability to work independently and manage priorities across multiple projects
  • Construction industry experience is required at a basic level and strongly preferred
