We pride ourselves on delivering high-quality work across diverse projects and are seeking a Construction Office Assistant to support our project managers, executives, and administrative staff in keeping projects organized and on track.

Position Overview

The Construction Office Assistant will play a critical role in maintaining compliance, organizing project documentation, and ensuring smooth communication between the office and field. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks across projects and related entities.

Key Responsibilities

  • Maintain and track all insurance requirements for projects and buildings, ensuring compliance.
  • Track and manage permits, filings, and inspection schedules .
  • Communicate with project teams to assist Project Managers and senior company members with day-to-day tasks.
  • Maintain log of requests for quotes (RFQs) and follow up with vendors to obtain timely pricing.
  • Update and organize recordkeeping, data entry, and project documentation .
  • Maintain checklists of project workflows , monitor progress, and prepare weekly reports on project status for executives.
  • Act as a liaison between office administration staff, project managers, and company executives.
  • Assist with tasks and documentation for related entities associated with the company as required.
  • Provide general office support including scheduling, correspondence, and reporting.

Qualifications

  • Minimum 5 years of office experience required.
  • Construction or plumbing industry experience is required .
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) ; database/data entry skills required.
  • Experience tracking insurance, permits, or compliance documents is a plus.
  • Proactive, detail-oriented, and able to work independently and as part of a team.
